1. PAYMENT IS DUE ON PRESENTATION OF INVOICE. Full Pre-Payment of all functions is required no later than one week prior to the start date of the event. Commission payable is 10.00%, catering excluded – applicable to PCO’s & Travel Agents. Discount is not applicable on 30 day accounts.
2. DISABILITY ACCESS - Please note we do not offer a lift facility to the first floor – access is via stairs only. All conferences over 12 Pax are required to use the stairs.
3. Prices are subject to change, in these circumstances prior notification will be given.
4. Definitive Conferencing reserves the right to cancel any booking forthwith and without liability on its part in the event of any damage or destruction of the allocated rooms by fire, or other cause, any shortage of labour or food supplies, strikes, lock-outs or industrial unrest, or any other causes beyond the control of the Company which shall prevent it from performing its obligations in connection with the booking. In these circumstances every effort would be made to accommodate in another company establishment.
5. In the event of the client wishing to cancel less than one week before the said date, a cancellation fee of 50% may be charged and a cancellation fee of 100% will be charged for 24 hours & less.
6. Definitive Conferencing does not accept any liability for loss or damage to any item of property of customers or guests.
7. The client shall be responsible for any damage caused to the function rooms, or the furnishings, table linen, utensils & equipment therein, by any act, default or neglect of the customer or persons affiliated with the customer.
8. The customer shall not be entitled to:
8.1 Paint, affix or attach to the function room provided any advertising signs, notices or other matter without the prior written consent of, which shall not be unreasonably withheld.
8.2 Drive into the walls, floor, partition or doors of the function rooms any screws or nails in a manner calculated to damage same.
9. Definitive Conferencing reserves the right to change the name & location of the Customers previously designated function room upon having given reasonable notice to do so.
10. The provision of standard operating apparel and/or equipment for e.g. Linen used by the conference centre shall be dependent on availability at no extra charge.
11. All day & evening functions must terminate by 18H00 & 24H00 respectively unless a later time is specifically agreed in writing at the time the booking is made. Failure to adhere to these times without the necessary consent being sought shall attract additional charges.
12. The Customer shall not be entitled to assign or cede the booking to any third party nor utilise the conference facilities for any other purpose than that stated without prior written consent, which shall not be reasonably withheld.
13. This agreement constitutes the whole agreements citandi et executandi for all purposes under this Agreement at the trading / residential address set out on the face of any Agreement until the Customer notifies in writing on the change of address.
14. No food, alcoholic or non-alcoholic beverages may be brought onto the premises by the clients for consumption.
